Why do we use personal data?
We only collect personal data so we can provide you with the best experience on our system and to ensure we provide as accurate information as possible. Specific Purposes

- Our services cannot function without this data and consent so please do not continue through to application and results if you do not consent
- We will also use your information to better understand the needs of our service users and how we can improve our products and services

What information do we process?
We process only the personal information required to complete the eligibility and verification process for an ECO4 application and for installation services thereafter.
Categories of data processed
- Contact information, like Names, Email addresses and Phone numbers
- Other personal information such as Benefits or financial position
- Public property EPC information
- Anonymous information such as IP addresses and cookie preferences for analytics
How do we get permission to use your data?
We require your direct consent to be able to proceed with your application. We’ve done this in the form of two acceptance boxes prior to receiving your application;.
Legal Basis
Where we collect personal information, we do so on the basis that you:
- have pecifically consented or;
- have engaged with our website and have an interest in our services
- are requiring engagement from our installer network for ongoing services
If we do seek to collect personal information through our website on a form, we will be up-front, clear and open about this. We will make it evident when we are collecting personal information and will explain what we intend to do with it.
For how long will we keep your data?
We keep your data for the shortest time we can but in some circumstances we may need to retain some of that data in line with established good practice and legal requirements.

When we do store information, we keep it for the following periods:
- Information about user identification and cookie preferences is usually retained for the duration of the browser sessions. Only in a few cases, the period extends to 28 days
- Information gathered on our website for the purposes of delivering our services is retained for 12 months from the date of consent being provided.
- Correspondence not relating to a contract will be retained for 1 year following its creation
- Other Information will be kept for periods as defined in our retention policies which can be provided on request
In order to maintain the accuracy and relevance of information, we perform checks every 6 months and this may include making contact with the subjects of the data to check details.
Where is the information stored?
Primarily, your data is encrypted and stored within a secure database with reputable brands such as Microsoft.
When you provide information, we will enter and store it in our databases and use it to authenticate you and remember settings. When we store data, reasonable measures are taken to protect personal information from access by unauthorised persons.
Your information will be stored, archived and backed up as part of internal systems which are hosted by cloud service providers. We currently use the following technology providers:
- Infrastructure: Microsoft Azure (UK West)– Users, Site membership
- Productivity: Microsoft 365 (UK) – Customer contact details, email, general file storage
- Website Analytics: Google (UK) – Anonymised at source
We also use Cookies to store information on your own equipment to improve your experience of working on our website and software solutions.
What rights do you have over the data we use?
Your personal information is owned by you. If you have any questions or issues with the way in which we are using your data, you have rights over that data.

- You can ask to see what data we hold on you (right of access)
- You can ask for information to be corrected
- You can ask to receive a copy of the data we hold on you (right to portability)
- You can ask us to delete any information we have about you (right to be forgotten)
